Scan to folder - RICOH MFP Feature

Ricoh’s multifunction products (MFPs) allow users to send scanned documents to shared folders on various networks. Compatible MFPs support these three methods of Scan to folder:

  • Scan to SMB (for Windows environments)
  • Scan to NCP (for Novell NetWare environments)
  • Scan to FTP (for environments with mixed operating systems).

Many Ricoh MFPs also allow users to combine Scan to folder and Scan to email destinations in the same job. 

 

Enlarging and reducing scans

MFPs with a GWNX controller allow users to enlarge or reduce the size of their scan to a different supported paper size automatically, for example, an A5 size document can be scanned to A4 size. 

Supported file types

Scan to folder supports single-page TIFF, JPEG, PDF, PDF/A, and high compression PDFs, as well as multi page TIFF, PDF, PDF/As, and high compression PDF file formats. Users can also add a digital signature using the Scan to Digitally Signed PDF feature.

Homefolder over LDAP support

Supported by Ricoh MFPs with a GWNX controller, Homefolder over LDAP enables users to select their Homefolder location as a destination with Scan to folder. 

Scan to SMB—Windows

Scan to SMB allows documents to be scanned and sent via SMB to a designated client PC or shared folder on a Windows network.

Different methods for entering or managing Scan to SMB destinations are available, depending on the device. For example, users may be able to:

  • Use the operation panel to manually input network paths
  • Browse the network from the operation panel
  • Select pre-registered destinations from the operation panel that have been set up using Web Image Monitor.

Scan to NCP—Novell NetWare

Some Ricoh MFPs provide Scan to folder functionality that is suitable for Novell NetWare environments. Documents are scanned and sent to folders on a Novell NetWare network via NetWare Core Protocol (NCP), the NetWare file sharing protocol.

Benefits of Scan to SMB and Scan to NCP

  • Minimum investment—uses existing network infrastructure, so no additional hardware or software is required
  • No need to maintain addresses on the MFP’s HDD or mail server
  • No file size limit
  • Documents are sent directly to the recipient’s folder
  • Client folder protection—user is required to enter a password before sending a file to the protected folder
  • Username and password are encrypted during transmission.

 

Many Ricoh MFPs also allow users to combine Scan to folder and Scan to email destinations in the same job. 

 

Scan to FTP—mixed operating systems

Scan to FTP is suitable for sharing large files between remote offices. Files can be scanned and sent to FTP servers within the LAN or WAN. Users can download the files regardless of their operating system.

Filenames, password protection, and destinations can be set up in advance using Web Image Monitor. The user can then select these settings from the operation panel when the device performs a Scan to FTP job.

Benefits of Scan to FTP

  • Ability to handle large files
  • Suitable for a variety of operating systems, including UNIX, Linux, and Mac OS
  • Users can add and delete scanned documents from the FTP server.

Print from USB/SD is a Ricoh print function enabling users to print files directly from a USB memory device or an SD card, without needing to access a PC. How does it work?
